Product Focus: Who was Driving? Closing the Identity Gap in Shared Fleets

Modern telematics has made the vehicle almost completely transparent. A fleet manager can see where a truck went, how fast it took a corner, how long it idled and how hard it braked. Yet one deceptively simple question often has no reliable answer: who was actually behind the wheel?

On any fleet where vehicles are shared — container-haulage prime movers running around the clock, pool vans passed between shifts, relief drivers covering routes — the tracker records the asset, not the person. Behaviour scores, incident reviews, fuel and mileage claims and duty-of-care records are then built on an assumption. When something goes wrong, that assumption is exactly what fails to hold up.

Driver identification is the layer that closes the gap, and operators have four broad options, each with trade-offs.

iButton fobs and tags are the long-standing default. They are cheap and simple, but they are physical objects: drivers lose them, forget them, or quietly hand one to a colleague, which defeats the purpose.

RFID cards work much the same way and often double as building-access passes. That is convenient, but it also means the card lives in a wallet that may never make it into the cab, and cards remain easy to swap.

Smartphone driver-login apps remove the extra hardware and suit gig and last-mile work, where drivers already rely on a phone. The weak points are flat batteries, personal-device policies, and the simple habit of not logging in.

PIN keypads take a different route: the driver keys a personal code before the vehicle will move. There is nothing to carry, lose or pass on, and when wired through the tracker the code can also act as an immobiliser, so an unidentified vehicle will not start. The trade-off is that a code can be shared verbally where discipline is poor, and drivers must remember it.

There is no universally correct choice. A single-shift owner-driver operation has very different needs from a 200-vehicle fleet with high turnover. What matters is matching the method to how the fleet actually runs, and being honest about each failure mode: anything a driver must carry can be lost or shared, and anything optional will sometimes be skipped.

The direction of travel is clear, though. As insurers, regulators and customers increasingly ask fleets to prove not just where a vehicle was but who was responsible for it, capturing driver identity reliably is shifting from a nice-to-have to a basic expectation.
